How “Request reviews automatically” works

A job is marked as done in your job list, your calendar or your accounting. The workflow then checks whether there is consent for a message and sends the request or reminds you about it.

A fixed part of the workflow: every customer gets the same request with the same link, with no selection by satisfaction and no series of reminders. The timing and wording do not adapt to how a job went.

What is allowed when asking for a Google review?

It is allowed to ask every customer in the same way for an honest review. Under Google’s policy on user-contributed content, the things not allowed include incentives such as discounts or free services, discouraging negative reviews and selectively asking for positive reviews (Google’s policy on user-contributed content). That is why every customer is asked the same way.

The policy also prohibits pressing customers to write a review while still on site, demanding specific content or asking for reviews that mention particular staff (Google’s policy on user-contributed content). Check the current version of the policy itself before you start.

What is review gating? That is the term for asking only satisfied customers for a review. With the workflow we set up, this is technically ruled out: it has no filter rule by stars or mood, but asks the same way after every completed job.

Whether, and in what form, a request for a Google review by email or SMS needs the customer’s consent is a legal question this text does not answer conclusively. The German Federal Court of Justice (Bundesgerichtshof) has ruled that a customer satisfaction survey by email counts as advertising even when it is sent together with the invoice, and that email advertising without consent is generally not permitted (BGH, judgment of 10 July 2018, VI ZR 225/17, full text at rewis.io, in German). Clarify with your lawyer or data protection officer what form consent needs to take for your business before review requests go out by email or SMS. The workflow therefore only sends a message where consent is on record; all other jobs go on the list for the card or a conversation.

When is the right time to ask for a review?

The right time to ask for a Google review is shortly after the service has been delivered, while the experience is fresh, but no longer on site. The workflow therefore puts the customer on the “Request a review” list a few days after completion, with a note on whether consent for an email is on record.

Suppose someone at Martin’s joinery in Fürstenfeldbruck (made up) hands over a finished patio roof on Friday afternoon. The job is closed in the calendar. On the following Monday there is a draft review request in the workshop mailbox, with the link from the business’s own Google profile. If consent is on record, the message goes out with one click after your approval; otherwise it stays with the card or a conversation at the next appointment.

A sentence like “If you were satisfied, …” does not belong in the text, because it filters by satisfaction. You create the link in your own Google Business Profile (Google Help “Tips to get more reviews”).

Why do reviews matter for visibility on Google?

Reviews matter because Google evaluates them for local search. Among the 187 ranking factors of the local search results, the number of reviews ranks 9th and their recency 11th (Whitespark Local Search Ranking Factors, edition of 6 November 2025). That is one documented factor among many, not a promise of a particular ranking: nobody can promise a specific position.

Frequently asked questions

May I automatically ask every customer for a review?

The workflow we set up only sends review requests by email or SMS if express consent for this purpose and the chosen channel has been documented beforehand. Without this record it merely creates an internal task for a personal conversation or a review card. A withdrawal of consent or an objection stops further messages. Customers are selected regardless of whether a positive or negative review is expected; selecting only satisfied customers (review gating) also breaches Google’s policy.

May I ask only satisfied customers?

No. The workflow we set up does not filter by satisfaction, but asks after every completed job.

May I give something in return for a review?

No. Google treats incentives such as discounts or free services as fake engagement and can remove such reviews (Google’s policy on user-contributed content).

How do I create the review link?

In your own Google Business Profile; Google explains in its help how the link or QR code is created (Google Help “Tips to get more reviews”).

Do I need consent to ask by email or SMS?

Yes. Without previously documented express consent for email or SMS, the workflow does not send a message but creates an internal task for the card or a personal conversation. Clarify with your lawyer or data protection officer how this consent is obtained and documented for your business.
