Following up on missed calls while everyone is at the machine

Why the call gets lost at the saw

In the trades, the phone rings while everyone is at the machine, up the scaffolding or at a customer’s. Anyone who cannot get through may try again later, or they may simply call the next business in the search results.

Voicemail only solves half the problem. You hear the callers who leave a message. Anyone who hangs up remains a number in the call log, with no name and no reason for calling, and by the evening nobody knows which callback was urgent.

How often this happens to you is shown by the call log of your phone system or your mobile. For two weeks, count the missed calls that nobody returned. We do the maths with that number in our first conversation.

Why being reachable starts on the website

Before a call can be missed, it has to happen. In our sample of 43 Bavarian trade businesses, 30 percent had not set up their phone number as a clickable link (Tradesperson website study, August 2026). On a smartphone, tapping the number then does not start a call.

How “Following up on missed calls” works

Once phone and text messaging are connected, the workflow reacts to the missed call: it adds the call to the callback list. Anyone who asks for a text gets one with your wording, and the workflow collects the reply. You make the callback.

The workflow recognises mobile numbers by their prefix. Landline numbers, withheld numbers and callers who do not want a text get no text, but they are still on the list with the time, landline number included.

What the text says and what it does not

The text only goes to callers who explicitly ask for it. It names your business, says by when you will call back and asks what the call is about. It contains no advertising, no link and no offer, and the same number gets at most one text per day.

About the sender: so that the caller can reply, the text comes from a number that can receive replies. That is not possible with a company name as the sender, which is why the text names your business right at the start.

If someone replies that they do not want texts, their number goes on a block list and gets no more texts. The list still keeps the call itself, because it was real.

Callback texts and the law: what to clarify before the start

We do not send texts unsolicited. The caller explicitly chooses one, for example in the announcement, or a channel they used earlier has documented consent. The message remains a factual confirmation without advertising. Whether the workflow is legally suitable for your business still depends on the individual case and cannot be settled for you.

§ 7 UWG (German Act against Unfair Competition) governs unreasonable nuisances, which include advertising by electronic mail without prior express consent. Because the text only goes out at the caller’s explicit request and contains no advertising, it remains a confirmation. Whether that is enough in your case is something to clarify legally before the workflow starts.

Also needed before the start:

  • Phone numbers and reasons for calling are personal data. The text messaging service and we need a data processing agreement under Art. 28 GDPR, and the callback list gets a deletion period.
  • The workflow does not record calls and does not listen in. Recording without the other party’s consent is not permitted; the confidentiality of the spoken word is protected by § 201 StGB (German Criminal Code).
  • In medical, dental and physiotherapy practices, the text does not ask what the call is about, so that no health information goes back and forth by text. There it only confirms that the practice will call back.

Callback text, AI phone assistant or answering machine: what suits which business?

The callback text does not answer a call; it turns a missed call into an entry on your callback list. An AI phone assistant picks up itself and talks to the caller; an answering machine waits until someone leaves a message. If you prefer to call back yourself, the callback text serves you well; if you want someone to always pick up, an AI phone assistant is the better choice.

What is a callback text? A short text message to callers whose call nobody answered and who explicitly ask for it, with a promise to call back and a question about what the call is about. The practice is also known as “missed call text back”.

An AI phone assistant raises two points to clarify beforehand. Article 50 of the EU AI Act requires that people are informed when they interact directly with an AI system. On the phone, that means callers learn that they are talking to an automated assistant. And anyone who records calls needs the caller’s consent to do so.

Which approach suits which business:

  • You want someone to always answer immediately and you get many predictable calls such as appointment requests: then a ready-made AI phone assistant is often the quicker route, and you do not need us for that.
  • You prefer to call back yourself, because the phone call is where you find out whether a job is worth taking, and you just want no caller to vanish without a trace: then the callback text is the right choice.
  • You get few calls and have time for the call log in the evening: then voicemail is enough.

Is this an AI phone assistant?

No, deliberately not. The workflow does not answer any calls and does not talk to anyone. It puts every missed call on the callback list and sends a text with your wording only to callers who explicitly ask for it. If you want someone to always pick up, an AI phone assistant is the better fit.

Does this work with my landline number?

Your own number can be a landline number if your phone system reports missed calls. We check that with you. Only callers with a mobile number who explicitly ask for it get a text. Anyone who calls from a landline or does not choose the text ends up on the callback list without a text.

Does every caller get a text?

No. A text only goes to callers who explicitly ask for it, for example by choosing “callback confirmation by text” in the announcement, or via a channel the caller has used themselves. What does a text message cost?

Are calls recorded?

No. The workflow does not listen in and records nothing. It only learns that a call was not answered, and from which number.

Does this also work for practices?

Yes, with one restriction: there, the text (if the caller asks for it) does not ask what the call is about, so that no health information is sent by text. It only confirms that the practice will call back.
